We are seeking a highly organized and detail-oriented Events Associate to manage and execute both owned and industry events for Blis. This role involves overseeing event logistics, coordinating with internal and external teams, and ensuring a seamless experience for both clients and internal stakeholders. The New York-based Events Associate will play a key role in enhancing the brand presence and ensuring all events are executed within budget and aligned with marketing goals. This role will also include office administrative duties to support the US team efficiently.
Key Responsibilities:
Industry Events:
Registration & Logistics:
- Register attendees and clients for industry events and manage hotel bookings
- Organize event agendas, compile attendee details with company information and coordinate prep calls
- Develop briefing docs with KPIs and sponsorship info
- Gather feedback via surveys, assist with presentation materials, and conduct post-event debriefs to evaluate KPIs and identify key sales leads
Owned Events:
Event Planning & Coordination:
- Collaborate with sellers to define event types (e.g. VIP dinners, parties, activations) and source venues/vendors within budget
- Create landing pages and manage communication cadences
- Handle bookings and payments for venues and F&B and develop detailed purchase lists
- Create custom event assets, send calendar invites, manage RSVPs and coordinate pre-event briefings.
- Conduct post-event debriefs, provide social media coverage and update the Marketing events tracker
Office Manager/Admin Responsibilities:
Office Management:
- Organize office supplies, monitor deliveries and maintain inventory.
- Provide access to visitors and Blis staff as needed.
- Process event invoices and send to accounts payable with due dates
- Update the global marketing tracker and track purchases
- Conduct monthly budget checks and manage corporate card charges for the VP of Marketing and President of Blis US
Internal event coordination:
Offsite coordination:
- Source venues and negotiate pricing for internal offsite events, including hotel room blocks
- Coordinate group hotel bookings, conference room arrangements (including F&B) and group activities
- Create and sync agendas and collateral and ensure smooth execution
Qualifications:
- 2+ years of proven experience in event planning, coordination, and execution, preferably in a marketing or tech-driven environment
- Strong organizational skills and attention to detail
- Ability to manage multiple projects simultaneously and meet tight deadlines
- Excellent communication and interpersonal skills, with the ability to collaborate effectively with both internal and external stakeholders
- Proficiency with event management software (e.g., Zoho, Monday.com), Google suite, social media platforms, and Microsoft Office Suite
- Ability to manage budgets and track expenses accurately
- Creative mindset with a passion for producing impactful and memorable events
- Self-starter with a proactive approach and a problem-solving attitude

The salary range for this position will be USD $60,000 – $70,000. The base pay offered may vary depending on geographic region, internal equity, job-related knowledge, skills, and experience, among other factors. Our compensation package also includes a comprehensive benefits platform.
